How do I save a document or web page as a PDF?

The steps

    Open the web page, email, or document you want to save. The content is visible on your screen inside your browser or document viewer.

    Why save as PDF?

    A PDF locks the exact layout, images, and text in place so anyone can open and view it identically on phones, Macs, or other computers without requiring a physical printer or ink.

    Press CtrlP on your keyboard. The Print preview window pops open with a live visual preview of the pages on the right and printer settings on the left.

    Click the Destination or Printer dropdown menu, and select Save as PDF (or Microsoft Print to PDF). The primary blue action button changes its label from "Print" to "Save".

    Click Save, choose where to keep the file (like your Documents folder), and click Save. The dialog closes, and a clean, permanent PDF file is created in your chosen folder.

    5. It looks different on my screen

    In Microsoft Word or Excel, you can also go to File > Export > Create PDF/XPS Document.
